Selling rooms before a hotel opens: when to launch pre-sales and attract first bookings

Prepare hotel pre-sales with a credible offer, booking journey and campaigns. Understand readiness, guest communication and opening-date changes.

A hotel can build demand before welcoming its first guest. That does not mean every development should immediately accept paid bookings. Several decisions sit between announcing a property and selling a specific stay. Skipping them can turn an encouraging launch into questions, refunds and disappointed expectations.

Successful hotel pre-sales begin with a credible promise: what the guest is buying, for which dates and on what terms. Channels, creative and spending come next. This guide explains the decisions behind that process rather than repeating a general pre-opening calendar.

Separate interest from confirmed reservations

Opening-news subscriptions, group enquiries and confirmed bookings are different outcomes. Someone providing an email address is not automatically a guest. A conference enquiry is not a signed event agreement. Give these stages separate names in reports so investors can see the actual sales position.

If dates or facilities remain uncertain, begin with information and expressions of interest. Explain what people are signing up for and what they will receive. Move to confirmed sales after approving the relevant terms. Agree communication, payments and change procedures with the responsible hotel team.

When is a property ready for paid pre-sales?

You need an opening date confirmed by those responsible for the development, an approved room allocation and a reliable description of facilities. Marketing should not independently certify construction readiness or promise access to facilities that remain unconfirmed.

  • The guest understands dates, room category, included services and price.
  • The hotel has approved payment, cancellation and change arrangements.
  • The system displays correct inventory and sends accurate confirmations.
  • Reception or sales has current information and handles questions.
  • A named person decides what happens if the project schedule changes.

If one of these elements is missing, advertising may expose the problem faster, but will not solve it. Complete the missing step before expanding reach.

Create an opening offer without a random discount

Start with the guest and their reason to travel. Families need information about rooms, meals and available activities. Couples may be buying quiet and a particular package. Event organisers need rooming, function spaces, layouts, equipment and delivery responsibilities.

Before reducing price, identify what will make the decision easier within the hotel's capabilities. It might be a clear package for selected dates, a limited allocation or terms suited to how guests plan. Every inclusion still has a cost and an operational constraint. Sales, revenue and operations should approve the offer together.

Do not describe a benefit as free while concealing its cost in an unclear package. Check the pricing information and offer terms required in the markets where you sell. Attractive communication still needs to describe the purchase accurately.

What can you show before final photography exists?

Use materials appropriate to the stage: recent progress photographs, the location, surrounding area and clearly labelled visualisations. Guests should understand whether they are seeing an actual room or a proposed design. Another property's photograph must not appear to represent the accommodation being sold.

Copy can remain specific without a final photoshoot. Explain access, the location's character, intended standard and confirmed package contents. Set review dates so current photographs replace earlier materials and design changes reach the sales team.

Connect the website, Google and campaigns

Prepare a page that answers questions before the booking button. It should explain the offer, opening status, available dates, conditions and contact. On a phone, check date selection, final price, payment and confirmation, not just appearance.

Google supports future opening dates; after verification, profiles can appear 90 days beforehand. Check Google's conditions. This does not replace distribution planning.

Match campaigns to decision stages. Awareness material can introduce the property, while an offer advertisement should lead to the relevant dates and product. Keep their objectives separate in reporting. Do not judge an introduction solely by immediate purchases, or present reach as the equivalent of sold stays.

What if opening is delayed?

Before selling, define who confirms a delay, pauses promotion of unavailable dates, updates inventory and contacts existing bookers. The procedure must cover every channel rather than a single social post.

Messages need to reflect the facts and agreed guest arrangements. Reception should not have to improvise promises. Changes and subsequent handling require approval from those responsible for contractual terms and reservations.

For another opening, understanding the relationship between brand, product, assets, distribution and sales is more useful than copying one campaign. A recognised name does not alone explain why someone should choose a particular property and date. The local offer needs to make sense at every contact point.

A practical decision: an announcement or an offer ready to buy?

Consider a hypothetical property where rooms are almost complete but the pool opening is unconfirmed. There are two decisions: whether to introduce the hotel and whether to sell a stay promising pool access. Approval for the first does not approve the second. Copy needs to separate confirmed features from plans.

If sales terms cannot yet be approved, the website can collect interest in the opening. State that signing up is not a reservation. Once the product is ready, interested people can receive appropriate information through the agreed communication process. This builds a relationship without presenting an unconfirmed stay as available.

Before launching paid sales, run the entire process using an approved example. Someone outside the project should identify dates, inclusions, price, terms and contact without further explanation. Then check the purchase confirmation. If it describes something different from the page, resolve that before advertising.

Set the next review date. An offer can be accurate at launch and outdated a week later. A shared product record should identify the information owner, approved version and changes. This matters when different suppliers manage the site, campaigns and reservations. Guests should not experience the organisational structure as contradictory answers.

How to assess the first pre-sales results

Track enquiries, confirmed bookings, room nights, stay dates, sources and cancellations. Look at whether demand is reaching the periods you need to fill. Selling one weekend well does not establish healthy demand across the month.

Capture repeated questions. If people keep asking whether the pool will open or how children's stays work, make that information part of the offer. Pre-sales reporting should improve product and communication, not simply summarise spending.

Discuss pre-sales for your hotel. Send the location, development stage, opening date and proposed offer. We can define work on the website, materials, campaigns and reservation journey. See also the pre-opening marketing timetable.

Questions about a new hotel's first bookings

Should we sell while the opening date is uncertain?

First separate expressions of interest from confirmed sales. Commitments must match project readiness and approved terms.

Will advertising fill opening dates?

It also takes a credible offer, working reservations and reliable service. An advertising budget alone provides no basis for an occupancy guarantee.
