A marketing agency for hotel pre-opening: what should it be responsible for?

Define hotel pre-opening agency responsibilities: investor and operator roles, deliverables, approvals, account ownership and launch tests.

A hotel opening involves many people. Investors oversee the development, operators prepare the business, suppliers implement systems and sales teams need an offer and materials. A marketing agency can organise an important part of this work. It must understand its responsibilities and the decisions on which delivery depends.

Pre-opening support is more than managing an Instagram account. It should connect the hotel product, communication, sales tools and market preparation. Before signing, define each stage's outputs, approval process and boundaries.

What should an agency ask before opening?

Expect questions about the business: location, dates, rooms, segments, seasonality, facilities and reservations. If a proposal begins with post counts rather than product and sales objectives, it is hard to tell whether it solves the property's problem.

The agency should translate project information into an understandable offer. Who should visit, why should they choose the hotel, what can they buy initially and what do they need to know before booking? These answers underpin copy, website, sales documents and campaigns.

Divide responsibilities between investor, operator and marketing

For each task, identify the information provider, delivery owner, approver and deadline. A simple table can show that a package description is waiting for confirmed inclusions and a campaign is waiting for inventory approval. An elaborate management system is not essential.

The investor or operator supplies reliable readiness information. The hotel approves the product, prices, terms and operational capacity. Technology suppliers deliver their agreed system responsibilities. Marketing prepares communication and campaigns using approved facts. Coordination connects these tasks; it does not replace technical sign-off or other specialists' duties.

Which deliverables belong in the scope?

  • Communication foundations: guest segments, sales arguments, tone and essential information.
  • Website and content: structure, copy, offer pages, languages and booking journey.
  • Materials: photography plan, labelled visualisations, sales documents and campaign formats.
  • Channels: agreed accounts, access, campaigns and traffic destinations.
  • Measurement: defined events and a distinction between interest, enquiry and reservation.
  • Launch: testing, acceptance criteria and handover to the hotel team.

Define “complete” for every item. A launched website should mean more than an accessible address. Agree content completeness, reservations, contact and mobile checks. Acceptance then depends on verifiable delivery as well as visual judgement.

Distinguish coordination from doing everything

External suppliers or a hotel brand's team may deliver parts of the project. An agency can specify requirements, gather assets, check consistency and coordinate approval. That does not automatically mean it designs or programs every component itself.

Agree who contracts the website supplier, implements the booking engine and raises change requests. This matters when operator or chain systems are involved. Unclear responsibilities often become visible only when an urgent offer change is needed.

The hotel needs control of accounts and materials

Review ownership of the domain, advertising accounts, analytics and profiles. Work through agreed permissions rather than passing private passwords between people. The hotel also needs to know where source files are held and who may use them.

Clarify rights to photographs, graphics, films and copy, including third-party licences. Each stage should leave an organised collection of access arrangements, assets and instructions. Changing suppliers should not prevent the team updating essential hotel information.

Work with a changing development schedule

Hold a short, regular review of confirmed decisions, changes and materials needing updates. Separate provisional information from approved content. Campaign managers need to know which offer version is current.

The agreement should explain scope changes. Another language, an additional facility or an opening delay can create work. A clear process for agreeing cost and timing is more practical than assuming unlimited revisions are covered by the original fee.

How should pre-opening agency work be assessed?

Assess timely, complete preparation alongside actual sales outcomes. Early work often removes obstacles: missing offers, unclear copy or reservation problems. Once sales start, examine enquiry quality, bookings, costs and feedback from the hotel team.

Be cautious about occupancy promises detached from product, price, season and availability. Reporting should disclose data limitations and decisions for the next period. Production counts describe work completed, but are not a business result on their own.

Test responsibilities against three real tasks

The first task is publishing an opening package. The hotel approves inclusions and conditions, the responsible team confirms rates and availability, and marketing prepares the page and assets. A named person approves the complete offer. Missing decisions should have an owner and a visible effect on timing.

The second task is launching reservations. The system provider delivers agreed configuration, the hotel checks product and operations, and marketing verifies the campaign journey and agreed measurement. This division does not remove testing obligations. It identifies where to report a wrong message, price error or missing event.

The third task is a date change. The development lead approves the information, the hotel determines handling of existing bookings and channel owners update communication and inventory. Someone then verifies the whole list. Sending an email saying the date changed is not evidence that implementation is complete.

Ask how the agency records decisions: topic, owner, deadline, status and downstream impact. This is not about elaborate bureaucracy. It should explain why something was published or paused. At handover, that record helps a new person continue without guessing. Agree a report format that clearly separates completed work, blockers, results and next decisions.

Use case studies to discuss responsibilities

Explore Spark by Hilton Pobierowo (PL), then ask what scope fits your project. The Arka Medical SPA case study (PL) provides another reference for communication and the website's role in guest decisions.

Look for responsibility, not just a familiar logo. Ask what was delivered, coordinated or handled by the property and its suppliers. That conversation makes it possible to assess whether the experience suits your investment.

Prepare your first conversation with MB Digital Marketing

Send the location, intended date, property type, brand and website stage, and suppliers involved. Identify the sales lead and decisions already approved. A perfect brief is unnecessary; separating confirmed information from open work is what matters.

Discuss your pre-opening support. We can define a preparation stage, deliverables, responsibilities and the basis for a quotation. For sequencing, see our pre-opening timetable guide.

Can an agency join before the operator is selected?

It can help develop assumptions and materials, provided open decisions are identified. Avoid publishing commitments that the future operating model may not support.

Should support end on opening day?

Plan either a handover or continuing support. Early guest questions and experiences often reveal necessary offer and communication improvements.

Where should we send project information?

To marcel@mb-dm.pl. Include the intended date and whether you need planning, coordination, ongoing delivery or a combination.
